An automated register for a law firm's Strongroom and Archives
The challenge
The firm's Strongroom and Archives ran on manual registers: lodging documents for safe custody, retrieving them, tracking retention periods and scheduling destruction all depended on paper logs and institutional memory, with no single audit trail of who held what, when, and on whose authority.
What we built
We built a role-aware register covering the full chain of custody. Lodgement, registry verification against a line-by-line inventory, approval-gated retrieval routed to the owning partner or Partner in Charge, and archiving with a destruction date computed automatically from the retention period, all backed by an append-only audit trail.
Key features
- Strongroom lodgement with full document inventory and registry verification
- Approval-gated retrieval: owning partner or Partner in Charge approves before release
- Archives management with automatic retention and destruction scheduling
- Document ownership tracking: Client, Partner, Firm or Staff
- Notification Centre and Email Outbox logging every notice raised
- Twelve filterable reports, exportable to Excel and PDF
Stack & integrations
Outcome
Every document movement, from lodgement to destruction, now has one auditable record instead of a paper trail scattered across the registry.
